Note: No/few notes were taken contemporaneously. This page has been completed retrospectively by the Governance Theme Lead, Andrei Morgan, to ensure that documentation exists; the other Theme Leads were then asked to review the page.
There is ongoing debate about the website and how to manage it/what it is for. This needs to be addressed before progress can be made.
There has been work on developing the wiki and making it more friendly for those who are new to DataSHIELD.
There is progress being made in establishing a legal entity for the community. Agreement has been obtained between members of the SC on how to proceed and we are currently looking for a notaire in the Netherlands that can help with the process and provide advice re initial setup.
Tim has arranged for 2 workshops at the conference in Liverpool this year. These will be the same as last year - i.e. a beginner's workshop, and a deployer's workshop.
Becca wants to (re)join the Governance Theme so that she can work on development of software governance processes. She plans to use the Wednesday morning drop-in sessions for discussing work related to governance, comms and operational work.
Becca proposed that a number of the Voting Members who are currently listed should be removed (visible in the history of the list). The Theme Leads explained to Becca that this was not appropriate: just because work that was being done by one community member was not visible to another was not a suitable reason for removing someone, and that there were procedures that should be followed - e.g. to contact the Voting Member and see if they truly wanted to be involved. There was then discussion about community members who had been proposed to be Voting Members. The following points were made:
Becca proposed that there should be monthly communications meetings and requested Angela to organise these. This is because Becca has obtained funding and now employs Sian Cunningham as a communications officer.
Becca said that the Liverpool group is working on processes for the community that they would like to be adopted. These are for:
Theme Leads responded that these should be posted on the wiki so that they are accessible for broader discussion.
Workshops for the conference have been organised. There was some discussion about other educational possibilities, e.g. producing more guides on how to use DataSHIELD etc. It was noted that Tim has already done a lot of work on this and should be congratulated for that.
